Document correction email templates for missing or unclear answers

Use these templates to explain what needs changing, where to return the document and when a person will review it. Replace every item in square brackets with your team's details before sending. The examples use an invented equipment request.
Missing information
Subject: Please complete [request reference or form name]
Hello [name],
We need a little more information before [team name] can continue with your request.
In [field or section], [describe the missing information]. Please [state the required correction].
For example, in Delivery location, enter the office name and delivery address.
Send the corrected form to [receiving inbox or submission route], quoting [reference]. If the question does not apply, contact [team contact] so we can explain what to provide.

For several missing answers, replace the single correction with a numbered list. Remove the example if it does not fit the actual issue.
Conflicting dates
Subject: Please check the dates in [request reference or form name]
Hello [name],
The [delivery date] in your form is earlier than the [request date]. Our process requires [explain the agreed date relationship].
Please check both dates and correct the answer that is wrong. Return the updated form to [receiving inbox or submission route], quoting [reference].
If these dates describe a valid exception, contact [team contact] and explain the situation before resubmitting.

Do not guess which date is wrong. Explain the relationship and let the sender check the source information.
A person needs to review
Subject: [Request reference or form name] needs a team review
Hello [name],
Your document needs to be checked by [team name] because [brief, useful explanation].
[Explain what happens next and whether the sender needs to do anything now.]
If you have additional information or need to ask about the request, contact [team contact] and quote [reference].
Thank you,

For example, the next step might say: “We will review the original document. You do not need to resubmit it at this stage.” Use that sentence only if it matches your team's actual plan. Include a response timeframe only when the team can meet it.
Adapt before sending
- Name the receiving team so the sender knows who is handling the request.
- Keep the correction tied to a requirement shown on the form.
- Give the real inbox or submission route for the corrected version.
- Distinguish document completeness from approval of the request.
- Remove placeholders and include only the personal information needed for the reply.
